How can I become a better planner?

(Better Planner) Part of every leader’s role involves planning, and the significance of that planning naturally increases as you rise through the ranks. At more junior levels, you may be responsible for planning workload over the short-term; at mid-level, you may be involved in annual planning; Add to this the need to plan your own time in order to be effective and you can see that planning is, and will continue to be, an important skill for you.

Without effective planning, you will have no clear direction – be that personal or organizationally; nor will you have any means of measuring success. When you fail to plan, as the old saying goes, you plan to fail.

Whatever level of planning you are currently involved in, you should consider the following questions to help you improve your ability to plan:

  • Do you have good awareness of the business environment relevant to your position in the organization?
  • Is there accurate, up-to-date management information available to you to help guide your planning decisions?
  • Do you understand that information and are you comfortable interpreting it?
  • Are there specific objectives and targets defined to guide your planning decisions?
  • Do you have access to appropriate planning tools?

Planning is about trying to move yourself, or your organizations, towards outcomes. To do so means you have to determine what those desired outcomes might be; at junior level, these may be provided for you but, at senior level, you are responsible for defining measurable goals and targets.

Based on where you want to be, you then examine the current position – plan the necessary actions to help bridge those gaps, reviewing and monitoring progress at regular intervals

 Planning skills include the ability to plan your own time. Here are some simple steps to increase your efficiency through better time management:

  • Improve you time Planning:  Every leader needs some tools to help them pan their time and whether that is a dairy, Blackberry or Outlook, the tool is less important than the rationale behind it. It is more important for you to define your priority actions to be addressed on any given day. At the end of each day. By doing so, you ultimately build up your efficiency levels.
  • Reduce you time Wastage: If you look objectively at ay work day, there is always some wastage of time, perhaps not through your fault, but nonetheless eating into your available time. Whether this waste arises from having to sit through endless emails or constant interruptions, by reflecting on how you could reduce wastage within your control, you can find some areas for improvement.
  • Delegation: By delegating in an effective manner, you can free up your time to tackle those priority issues directly related to achieving your defined goals.
